Navratri Hotel Guide: How Hotels Handle 9 Nights

Navratri is the busiest time of the year for many hotels in Gujarat. Rooms fill up fast. The phone rings all day. Guests walk in late at night after garba. If you still run your hotel on a paper register, one small mistake can cost you a guest, your money and your good name.

This guide gives you a simple plan for 9 nights. It also shows how a hotel management app can make the work easier. Read it once now, and keep it for next year.

Why Navratri is hard for hotels

Normal days are easy. You know who is coming and who is leaving. Navratri is different.

  • Bookings come from many places at the same time: phone calls, WhatsApp and walk-ins.
  • Guests check in late and check out early.
  • Groups ask for many rooms in one call.
  • Staff are tired and in a hurry.
  • Everyone wants a room, and nobody wants to wait.

When many things happen together, mistakes happen. The most common mistake is a double booking.

Step 1: Get ready 30 days before

Do not wait for the first guest to arrive. Use this simple plan.

30 days before

  • Check every room: fans, AC, geyser, taps, lights and door locks.
  • Count towels, bedsheets and pillow covers. Buy extra.
  • Talk to your staff. Decide who works which shift.
  • Write all advance bookings in one place only.

7 days before

  • Call guests who booked and confirm their dates.
  • Check water supply and power backup.
  • Put your room rates and rules on a board at the front desk.
  • Test your hotel management software or app, so every staff member knows how to use it.

1 day before

  • Clean and check every room.
  • Make a list of which rooms are ready, booked and free.
  • Keep change, receipt books or your billing app ready.

Step 2: Set room rates the right way

Many owners raise the rate on day one and then forget about it. Think before you do this.

  • Decide the rate for each room type before Navratri starts, not at the front desk.
  • Raise the rate by a fair amount. If it is too high, regular guests will not return.
  • Keep the same rate for the whole stay. Changing the price on day 3 creates fights.
  • Write down what is included: breakfast, extra bed, parking.
  • Tell guests the full price when they book. Do not surprise them at checkout.

Your regular guests are worth more than one expensive night. They come back every year.

Step 3: Stop the hotel double booking problem

The hotel double booking problem happens when two guests get the same room for the same night. It is common in Navratri because bookings come from the phone, WhatsApp and the front desk all at once.

The result is painful. One guest arrives and there is no room. You lose money, you lose trust, and the guest tells others.

Here is how to avoid it:

  • Keep one list only. Do not keep one register at the front desk and another in your phone.
  • Write every booking right away. Do not wait until the evening.
  • Block the room as soon as you promise it.
  • Let only 1 or 2 people take bookings. More people means more mistakes.
  • Use hotel booking software or an app. It shows free and booked rooms in one view, and it warns you before you give the same room twice.

A paper register cannot warn you. An app can. Jayesh Prajapati of Ambaji Guest House reported 90% occupancy during Navratri with zero double bookings while using Yavasa. You can also read why many owners are moving away from paper in our post on small hotel software vs paper register.

Step 4: Check in guests fast, even at midnight

After garba, guests arrive tired at 1 am. A slow check-in makes them angry.

  • Ask for ID and write the details in one go.
  • Take the advance money and give a receipt.
  • Give the room key and tell them the checkout time.
  • Keep one night staff member who knows the whole process.

A hotel register app saves guest details on the phone, so you do not write the same things again and again. Hotels using Yavasa check in a guest in about 30 seconds. Keep guest ID records safe and do not share them with anyone who has no right to see them.

Step 5: Keep your billing clean

In festival season, cash and UPI payments get mixed. There is advance money, balance, extra bed and extra meals. Without a record, you never know your real income.

  • Write every payment on the same day.
  • Keep advance, balance and extra charges separate.
  • Give every guest a proper bill.
  • Use hotel billing software so your GST bills are correct and you do not do math late at night.
  • Close your day: check cash, UPI and bookings.

Spend 10 minutes every night to close the day. It saves hours later. If you want to learn more about this, read our guide on hotel ka hisab kitab.

Tips for guest houses

Guest houses are smaller, so you do not have a big team. These guest house management tips can help:

  • Give one person the job of taking bookings.
  • Prepare rooms in a fixed order, so no room is forgotten.
  • Take an advance for every booking, even from regular guests.
  • Use guest house software on your phone, so you can work from anywhere.
  • Keep a simple price list and show it to every guest.

Tips for dharamshalas

Dharamshala management is different from running a hotel. Many dharamshalas have fixed donation or low room rates, and many pilgrims come in groups.

  • Decide how many days a group can stay.
  • Keep the name and phone number of the group leader.
  • Record the ID of every guest.
  • Write down every payment or donation, so your trust can see a clear record.
  • Keep a few rooms for emergencies, like elderly guests.

After Navratri: take one hour to review

When the 9 nights end, sit down and look at the numbers.

  • How many rooms were full each night?
  • How many guests did not show up?
  • How much money came in by cash and by UPI?
  • Which problems happened again and again?
  • Which guests were happy? Call them before Diwali and invite them back. Our post on repeat guests shows how.

Write down 3 lessons and keep them for next year. A hotel that learns from each festival gets better every year.

How Yavasa helps

Yavasa is hotel management software made for small hotels, guest houses and dharamshalas in India. It works on your phone in Hindi, Gujarati and English. You can manage bookings, check-ins, GST billing and guest records in one place. Your data is saved in the cloud, so you do not lose it if your phone breaks.

It is built for hotel owners, not for tech experts. If you can use WhatsApp, you can use Yavasa.

Final thoughts

Navratri hotel management is not about working harder. It is about having a clear plan, one list of bookings and a simple way to bill. Get ready early, keep your rates fair, and do not let a double booking spoil your best nine nights of the year.
